What is a quarterly business review?
A quarterly business review, or QBR, is a meeting and a deck that look back on the last three months against their targets and set the priorities for the next quarter. Internal QBRs go to a board or leadership team; customer QBRs are held by account managers with their clients. Either way the deck leads with the headline number, explains what moved and ends with a few owned priorities.
When it helps
- Founders updating a board or investors on revenue, customers and margin.
- Leadership teams agreeing next quarter's priorities, each with one named owner.
- Account managers reviewing results and plans with a key customer every quarter.
- Department heads explaining a missed target and the plan to recover it.
Tips
- Agree metric definitions before the meeting; minutes spent arguing over what counts as an active subscriber are minutes not spent deciding.
- Three priorities is a useful ceiling. A list of ten tells the room that nothing has really been prioritised.
- Send the deck a day ahead so the meeting can go on questions and decisions rather than someone reading slides aloud.
How to prepare a quarterly business review
Start with the headline number
Open with the result against target in one line, for example £694k in Q3, just over target. Everyone in the room wants to know this before anything else.
Chart months against the target
Show monthly results as bars with the target drawn as a stepped line, so each month's hit or miss is visible without reading a single value.
Explain what moved
Pick the few metrics that changed most and give the reason for each. Comparing with the previous quarter shows the direction of travel.
Be direct about misses
Name the numbers going the wrong way and their causes, such as a new courier in one region. Leaders trust reviews that bring problems forward early.
Set three priorities with owners
End with a short list of priorities for next quarter, each with one owner, a measurable target and a date by which it should be met.
Put the full table at the back
Collect every metric for recent quarters in one typeset appendix table with a source line, ready for questions without cluttering the story.
FAQQuestions
Common questions.
What is included in a quarterly business review?
Results against the quarter's goals, the main drivers behind them, what went wrong and why, priorities and targets for the next quarter, and the decisions or support needed. Customer-facing QBRs add usage, the value delivered and plans for the account.
How long should a QBR be?
Most run for 60 to 90 minutes, with roughly 10 to 20 slides plus an appendix. Keep the main slides to the story and the decisions, and move detailed tables to the back where people can refer to them.
What is the difference between a QBR and a monthly report?
A monthly report tracks progress and flags problems; a QBR steps back to judge the quarter as a whole and reset priorities. QBRs involve more senior people and centre on decisions, while monthly reports mostly keep everyone informed.
