What should a parents evening notice include?

A parents evening notice tells families when meetings with teachers will happen, which classes meet on which evening, how long each appointment lasts and how to book. It should also say where to go on the night, whether children can come, and what to do if a family cannot use the booking system. Short, plain wording matters, since many parents read it on a phone.

When it helps

  • A primary school office announcing autumn term meetings across two evenings.
  • A secondary school explaining that each subject teacher has a separate slot to book.
  • A letter home that also works as a poster in the entrance hall.
  • Reminding parents of a deadline, such as school applications, that they may want to discuss.

Tips

  • Put the booking opening date near the top in bold; it is the one detail parents must act on, and buried dates lead to calls to the office.
  • Let siblings be booked back to back and say so; families with several children worry about long waits between slots.
  • Offer a phone or in-person alternative to app booking, so families without smartphones or confident English are not left out.

How to write a parents evening notice

  1. Say who it is for

Address parents and carers directly and name the year groups involved, so families know at once whether the notice applies to them.

  2. Give dates and times clearly

Write the day, date and time range for each evening, and show which classes meet on which evening, ideally as a simple timetable.

  3. Explain what the meeting covers

Say how long each slot is and what teachers will talk about, such as how the term has started and what comes next.

  4. Set out booking in numbered steps

Tell parents when booking opens, where to book and how to choose slots, with a phone number for anyone who cannot use the app.

  5. Add practical details

Include the entrance to use, whether children are welcome, the school's contact details and a signature from the headteacher or class teacher.

FAQQuestions

Common questions.

How long is a parents evening appointment?

Usually between five and ten minutes at primary school, and often five minutes per subject teacher at secondary school. Schools set the length, so the notice should state it, and parents with bigger concerns can ask for a separate, longer meeting.

What questions should parents ask at parents evening?

Common questions are how their child is doing compared with what is expected, what they find hard, how they get on with others, and what the family can do at home to help. Bringing questions written down helps in a short slot.

Can children come to parents evening?

It depends on the school. Many welcome children, particularly older pupils, so they can hear feedback and set goals together. Others ask parents to come alone. The school's notice should say which, and parents can always ask the office.
