What should a birthday invitation say?

A birthday invitation should say whose party it is and, for a child, the age they are turning, then give the essentials: the day, date, start and finish time, the full address of the venue, and how and by when to reply. Anything guests need to plan, such as fancy dress, food, or whether parents should stay, belongs on it too.

When it helps

  • Parents sending a child's party invitation to a class group on WhatsApp.
  • A printed invitation handed out at the school gate for a small party.
  • An adult's milestone birthday where guests need venue and timing details in advance.
  • A family gathering where grandparents prefer a printed card to a message.

Tips

  • Ask about allergies and dietary needs in the invitation itself; it saves a round of messages and keeps every child safe at the party.
  • Keep the key facts in three blocks, when, where and RSVP, so they can be read on a phone without zooming.
  • Send digital invitations as an image, not a link to a design site; links get ignored and images stay in the chat.

How to make a birthday invitation

  1. Lead with the name and age

Make the birthday person's name and the age the largest text, since that is what guests and children look for first.

  2. Give a finish time

Write both start and end times, such as 2pm to 5pm, so parents know when to collect and guests know how long to plan for.

  3. Write the full venue

Give the venue name and enough of the address to find it, such as the park or street, and any detail about parking or the entrance.

  4. Ask for replies by a date

Name who to reply to, a phone number and an RSVP date, about a week before the party, so you can confirm numbers with the venue.

  5. Size it for how it is sent

For a phone, design in portrait at 1080 x 1350 pixels; for print, A6 or A5 card with 3 mm bleed and images at 300 dpi.

FAQQuestions

Common questions.

How far in advance should you send birthday invitations?

Two to three weeks before the party is the usual guidance for children's parties, and three to six weeks for an adult's party, a milestone birthday or anything involving travel. Sending them earlier risks being forgotten without a reminder.

What does RSVP mean on an invitation?

RSVP comes from the French répondez s'il vous plaît, meaning please reply. It asks guests to tell the host whether they are coming, usually by a given date, so food, seating and party bags can be arranged.

Is it OK to send birthday invitations on WhatsApp?

Yes, for most children's and informal parties it is now common and practical. Send the invitation as an image with the key details, and consider messaging parents individually rather than posting to a whole class group if not every child is invited.
